Summary:

The Senior Coordinator, Human Resources is integral to the operational and administrative excellence and efficiency of the HR department.  The Senior Coordinator’s primary responsibilities include proactively supporting human resource operations and processes related to benefits administration; new hires, terminations and changes; payroll; regulatory reporting and compliance; and customer service for a high-volume, fast-paced 800+ employee, multi-state company. The Sr. Coordinator’s primary scope is for US employees, and may occasionally assist with international HR coordination as assigned. The Sr. Coordinator interacts with all members of the Human Resources department, and supports all US employees.

Duties/Responsibilities:

Benefits Administration

  • Administers employee health, dental, vision, FSA, HSA, life insurance, disability, 401(k) plans, ensuring timely enrollments, terminations, changes and associated employee communications.
  • Processes employee benefits enrollment, termination and out-of-cycle changes timely and with accuracy. Supports the employee’s online benefits experience providing guidance and setting service delivery expectations, engages with carriers/providers to troubleshoot issues and resolve employee access or user experience.
  • Supports annual benefits open enrollment and enrollment processing
  • Responds to and resolves employee benefits questions, claim issues, operating with a sense of urgency and compassion for the employee’s needs; escalates to Director, HR Operations as necessary.
  • Reviews and prepares monthly benefits invoicing for approval and processing. Ensures accuracy of benefits roster against active vs. terminated employees and accuracy of monthly billing amount.
  • Coordinates with payroll on uploads/file transfers of benefits information to ensure proper deductions with each payroll cycle.
  • Maintains benefits information, forms, links on the HR intranet site.

New Hires, Terminations, Changes

  • Initiates new hire onboarding process with notifications to ensure proper systems setup; upon offer acceptance, coordinates with new hire to collect required paperwork confirming eligibility to work, setup in HRDB, payroll and benefits enrollment.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Delivers new hire orientation presentation on benefits enrollment, general HR policies and procedures, responds to general questions.
  • Prepares new employee files; serves as central repository for employee paperwork, etc. by filing documents in appropriate employee personnel files.
  • Updates HRBD and personnel files with employee changes to salary, title, supervisor, location, department, sales team, promotions/demotions, bonuses, leave status during employment
  • Ensures proper file maintenance and recordkeeping in compliance with regulatory guidelines; adheres to document retention guidelines.
  • Initiates employee termination process with notifications to ensure removal from internal systems, final pay and benefits termination.
  • Records termination status in HRDB
  • Prepares EchoSign agreements and ensures severance pay
  • Serves as HRDB administrator ensuring integrity of data, serves as interface between HR and IS to define, create reports, system enhancements/functionality, etc.

Compliance, Reporting and Operations

  • Performs customer service by reviewing and responding to employee inquiries via automated ticketing system, email and in-person.
  • Ensures recordkeeping, compliance and reporting associated with health and welfare benefits, 401(k) and payroll; maintains and follows annual compliance calendar for timely and accurate reporting
  • Supports Director, HR Operations in continuous HR operations process improvement by identifying and making recommendations when gaps or inefficiencies are identified.
  • Recommends and evaluates the use of automated systems, taking advantage of their full functionality, ability to communicate to support departmental operations an efficiency.
  • Provides support to VP, HR, HR Generalist and Sr. Specialist, Payroll and HRIS as needed. Provides backup and relief to the front desk.
  • Makes photocopies; mails, scans and emails documents; prepares correspondence as requested and performs other clerical functions.
  • Performs other related duties as assigned.

  • Proficient with Microsoft Office Suite or related software; expert Powerpoint skills.

Education and Experience:

  • Bachelors degree in Human Resources, Business or Information Systems preferred; and/or equivalent experience.
  • At least two years related experience required.
  • SHRM-CP credential a plus.

Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer
